Not so long ago...

It was not so long ago that KAM and QHSE manager had to make do with a paper manual made in Word. The registrations were done in Excel, Word or on paper. These handbooks were mainly set up around a standard/certification that the company had to achieve and did not have much support with the day-to-day operations of the company. Therefore, the role of the KAM and QHSE manager was one of pushing and pulling to get and keep the whole thing rigged. This process was done with or without the help of external consultants. After the implementation and during the rest of the year, the KAM and QHSE manager had to fight quite a solo battle to get all the registrations done and executed again on time. Let's not even talk about how easy it was to draw the right conclusions so that the management with the management review also had enough input to set out well-founded new actions and improvements in the management review document. In conclusion, the KAM and QHSE manager was a Don Quixote who had to pull the cart pretty much on his own and often saw not too happy colleagues around him and also received not too happy looks from the management / board.

Era of digitization

In 2017, The Economist magazine signaled that the world's most valuable resource is no longer oil but data. (Economist 2017) With the increasing digitization of all kinds of processes in society, a huge amount of digitized data is consciously or unconsciously being created. (Big data) Companies are increasingly busy analyzing this mountain of data in order to recognize patterns faster and sharpen business models and processes in order to increase revenue and efficiency (profit).

In addition to digitizing for efficiency in data analysis, there is also automation going on within this digitization. How do you ensure that automation keeps you on track and that you can easily share your information more widely and have it carried within your organization. This is another area where much has been developed and possible in recent years. If these developments in digitization and automation have taken place, how different can the role of the KAM & QHSS manager manager become?

Opportunities for the KAM and QHSE manager anno 2022

We believe that with today's technologies it is possible that the role of the KAM and QHSE manager can change dramatically for the better. Usually, most companies have everything in place for their primary process. After all, this is the basis on which the company once started and owes its right to exist. However, with the success of the company and the associated growth, more time and attention was required for the secondary processes in addition to the primary process. Think of:

  • Issuing of work equipment and its intake
  • Work equipment inspection
  • Certificates of employees and resources
  • Laws and regulations that are changing
  • Environmental aspects registry
  • Various consultation structures and actions and decisions arising from them
  • Reporting Incidents
  • RI&E
  • LMRA
  • Reporting dangerous situations
  • Toolboxes
  • Various deliver or test protocols belonging to the various products and
  • services
  • Certifications and standards requested by customers

How nice then that both this documentation and registration can easily be digitized in one central location. Without programmers but by the company itself in a way that grows with the organization.
Certification is no longer the primary occupation of the KAM and QHSE manager. It is helping colleagues and informing management through a well-designed management system. The certificate is only the confirmation that you are doing it right.
This makes this information or registration immediately available to everyone in the organization. If necessary, you can then quickly perform this registration on your mobile phone so that you can satisfy your colleague, the KAM and QHSE manager. And it becomes even nicer if your colleague, the KAM and QHSE manager, has also taken care of this so that you received a notification (automatically) to do the registration in question.

Today it is quite possible to gather and manage these kinds of information and registration flows on one platform. The great thing about this is that the data you generate together also allows for easy real-time analysis. Of course, you can then visualize this in nice graphs so that you can easily make trend analyses, for example.
In short, colleagues no longer have to search for descriptions of processes, documents or registration forms, but simply have these at hand at all times. Getting your tasks done on time because reports come in and you can carry the work with many hands and this also ensures timely updating and creating joint ownership. And of course, for management, there is nothing nicer than being able to see and monitor up to date where things are going well, how accidents are prevented and where improvements and failure cost savings can be achieved. This makes the role of the KAM and QHSE manager so different! He can help more with connecting and coaching the various layers and departments of the organization instead of having to run after everything to get the job done but never quite as desired because either the resources are not there, the data is not there to support something, the budget is not there or an expensive programmer must be found.
